Privacy policy

This policy explains how NGG Newcastle Ltd, trading as NGG Software ("we", "us"), handles personal information in Fader, our business platform, and the Fader phone app. Fader is used by companies (our customers) to run their businesses, and by their staff.
Who is responsible for your information
When a company uses Fader, that company decides what information it keeps about its own customers, contacts and staff, and why. For that information the company is the controller and we are its processor: we hold and process it only on the company's instructions and under a written agreement with it. If your information is in a company's Fader (for example as a customer contact) and you have questions, please contact that company first.
We are the controller for the small amount of information we need to run Fader itself, such as the details of the people who sign in and records of how the service is used.
What information Fader holds
- People who sign in: name, work email address and the company they belong to, from their Microsoft 365 work account. We never see or store passwords.
- A company's business records: such as customers, sites, contacts, quotes, jobs, service tickets, emails sent to the company's support mailbox, purchase orders and stock, as entered by the company or brought in from systems it connects.
- Staff records a company keeps: such as job title, work contact details, skills and schedule, and other details the company chooses to record.
- Photos and files: added by staff, for example site photos, survey measurements and documents.
- Records of activity: who changed what and when, kept for security and so a company can see the history of its records.
The Fader phone app uses the camera only when you choose to take a photo, and stores work on the phone only until it has been sent to Fader. It does not track your location in the background and does not contain advertising or advertising trackers.
How we use it
- To provide Fader to the companies that use it, and to sign people in securely.
- To keep Fader secure, prevent misuse and fix problems.
- To answer questions and support requests.
We do not sell personal information and do not use it for advertising.
Where it is kept
Fader's data is stored in Microsoft Azure's UK South region (London), with backups and a standby copy in the same region. Some parts of the service are provided by others on our behalf, under agreements that protect your information:
- Microsoft (Azure hosting, Microsoft 365 sign-in, and Azure Maps for working out drive times to sites, which runs in the European Union).
- Cloudflare, for checking that requests sent from a company's website are from people rather than automated programs.
Where information is handled outside the UK, it is in countries the UK recognises as protecting it adequately, or with the safeguards the law requires.
How long it is kept
A company's records are kept for as long as it uses Fader, and are deleted or returned to it when it stops, in line with our agreement with it. Backups are kept for 35 days. Records of activity are kept to meet security and legal needs.
Keeping it secure
Information is encrypted when it is sent and when it is stored. Each company's information is kept apart from every other company's. Access is limited to people who need it, and every change is recorded.
Your rights
Under UK data protection law you can ask for a copy of your information, ask for it to be corrected or deleted, object to or restrict how it is used, and ask for it to be moved. If your information is held by a company that uses Fader, please ask that company; we will help it respond. You can contact us using the details below.
